Install and Configure on-premises data gateway (personal mode)

The on-premises data gateway acts as a bridge to provide quick and secure data transfer between on-premises data basically a data that is not in the cloud and several Microsoft cloud services.

There are two types of gateways as following:

On-premises data gateway:

  • It is also known as Standard mode, or Enterprise gateway.
  • It allows multiple users to connect to multiple on-premises data sources.
  • This gateway supports schedule refresh and live query for Power BI.

[Install and Configure on-premises data gateway (Standard mode)]

On-premises data gateway (personal mode):

  • It allows one user to connect to sources, and can not be shared with others.
  • It can be used only with Power BI.
  • You can use a personal gateway to install a gateway on your own personal computer and gain access to on-premises data.
  • This gateway supports only scheduled refresh.
  • The on-premises data gateway (personal mode) is a version of the on-premises data gateway that works only with Power BI.




Here are the some difference between On-premises data gateway and On-premises data gateway (personal mode) as follows.

Now we will see, how to download and install On-premises data gateway (personal mode) step by step.

Note that: Power BI Data Gateway can be installed either on a Windows PC or Server. However, it is not recommended to install it on a device that might be turned off, because in such a case the gateway service will stop, and the data refresh will stop.

Install the on-premises data gateway (personal mode)

You can download gateway from Power BI Service account, Log onto your Power BI service account then go to Download section and click on Date Gateway, or you can simply go to microsoft official website and download the gateway setup file (.exe file). Website link is mentioned below.

Download the on-premises data gateway

Once a download is completed, go to download folder or where you have saved download file and run the .exe file.

You will see a on-premises data gateway installer screen appears as shown below, click on Next button.

Now, it asks you to choose the type of gateway you need, just check the on-premises data gateway (personal mode), and click on Next button.

Now you can see a on-premises data gateway (personal mode) is getting ready for installation.

Now gateway is ready to install, you can also specify a location to save installation file else you can leave default location.

After that accept the term and conditions and click on Install button.






Now provide your email address that will be used with this gateway, and click on Sign In Button.

Note that, here you need to provide you email address that you are using to login you Power BI account.

That could be any account free, or paid account.

Once you click in Sign in, next it asks you to provide a login credentials of your microsoft Power BI account.

After providing a password, click on sign in button.

Once your account is verified, you can see a on-premises data gateway (personal mode) installed and ready to use. Click on OK Button.

You can also quickly check whether the gateway is installed and ready to use or not, just go login to your Power BI service account (https://app.powerbi.com/).

Go to any workspace, here we have a workspace named Workspace-X, now click on Datasets + dataflows tab.

There you will see all the available datasets in your workspace. Select any report and click on more option (three vertical dots) button as shown below.

Once you click on More option button, a context menu opens then select Settings.

You can see, a gateway is installed and running.

Now  we will apply a data gateway for report so that we can refresh and scheduled refresh for report data as shown below.

After that you need to specify a data source credentials.





After that you can see, no error and everything looks fine as shown below.

Now you can refresh and scheduled a refresh.

You can see, data refresh date and time and also a date time of next refresh.

No Gateway installed

In case, if you have not installed gateway, then you will get an error when you try to refresh the data as shown below.

Go to workspace Workspace-X, right click on (three vertical dots) dataset SalesBySegment then click on Refresh now.

Once you click on Refresh now, you can see it returns an error of gateway.

Also when you expand Gateway connection option, you can see a warning icon indicates that you have no personal gateway installed, also Scheduled Refresh option is disabled.
